Partnership Firm & Proprietorship Stamp Format: What to Engrave and Why

Quick answer: A partnership firm's stamp shows the firm name with "Partner" below it. A proprietorship stamp shows the trade name with "Proprietor" below it. Both usually add an Authorised Signatory stamp and a round seal. There is no legal format, so the test is simple: the firm name must match your bank account, GST registration and partnership deed exactly.

What is the stamp format for a partnership firm?

Stamp Line 1 Line 2
Partner stamp SHAH & MEHTA ASSOCIATES Partner
Authorised Signatory stamp SHAH & MEHTA ASSOCIATES Authorised Signatory
Round seal Firm name around the edge, city in the centre

What is the stamp format for a proprietorship?

A proprietorship is not a separate legal entity — the business is the owner. The stamp still makes it clear that you are signing in your business capacity:

Stamp Line 1 Line 2
Proprietor stamp RADHE KRISHNA ENTERPRISES Proprietor
Authorised Signatory stamp RADHE KRISHNA ENTERPRISES Authorised Signatory
Round seal Trade name around the edge, city in the centre

Use the trade name exactly as it appears on your GST certificate, Udyam registration or Shop & Establishment licence — whichever document your bank used to open the current account.

Why do banks ask for a firm stamp?

For a current account in a firm's name, most banks ask the partners or proprietor to sign with the firm's stamp on the account-opening form, signature card and cheques. The stamp tells the bank the signature is given for the business. It isn't a legal requirement under the Partnership Act, but in practice it avoids repeated back-and-forth with the branch.

Should I put my GSTIN or address on the stamp?

Not on the main Partner or Proprietor stamp — extra lines make the impression crowded and hard to read. If you need the GSTIN or address on documents, use a separate address stamp or print it on your letterhead and invoices, where GST rules actually require it. What GST does require is a signboard showing your name and GSTIN at the place of business; see GST Signboard Rules.

Frequently asked questions

Is a Rubber Stamp mandatory for a proprietorship?

No law makes it mandatory, but banks, suppliers and government offices routinely expect a stamp on forms and invoices, so almost every proprietor uses one.

Can all partners use the same PARTNER stamp?

Yes. The Partner stamp carries the firm name and the word 'Partner', not an individual's name, so any partner can use it with their own signature.

What if my firm name changes?

Order new stamps as soon as the change is reflected in your deed and GST registration. Old stamps with the previous name can cause documents to be rejected.

Do I need a Common Seal for a partnership firm?

No. Common Seals are associated with Companies, and even for Companies they've been optional since 2015.
